How to use the rotation planner

The rotation planner makes one academic year of postings for a residency or training programme, with a wish round.

All names shown are fictional. Pictures and videos come from roster.sg's demos, never from a real roster.

Sign in and open the demo

About 1 minute. You need: a work or personal email.

One shared demo; Reset starts afresh

  1. Go to roster.sg and press Sign in.
  2. Type your email and press Send code.
  3. Type the six-digit code and press Verify.
  4. On Choose a tool, pick the rotation planner's (Demo) tile.

Any email on a Singapore public healthcare domain works, or a mainstream personal email such as Gmail or Outlook. The code comes by email, and there is no password.

Everyone shares one demo; Reset the demo starts it afresh, so press it when you are done. The tasks below are in the order a coordinator meets them; the last part is for residents.

Check the departments and their manpower bands

About 3 minutes. You need: each department's least and most residents per block.

What each year group must clear

  1. On Home, tap Departments.
  2. Read each department's Manpower and Duration.
  3. Tap a department to change its band, then save.
  4. Add new ones with Add department or Paste departments.

A department's line reads, for example, Manpower: 9 to 10 and Duration: 1 to 3 blocks. Add hospital adds a hospital.

The solver never breaks a band. From Home, Curriculum shows what each year group must clear.

Add residents and their past postings

About 5 minutes. You need: names, year groups (R0 to R3) and past postings.

Everyone, by year group

  1. On Home, tap Residents, then Add residents.
  2. For one person, use Add resident.
  3. For many, use Paste residents with the template.
  4. Add their history with Paste past postings.
  5. Check everyone under Existing residents.

Add resident needs a name and a year group, the rest optional, such as a work email. Add another starts the next one.

For Paste residents, press Download the template, fill it in Excel, paste it, check each column's picker, and press the button that adds them (it says how many, for example Add these 12 residents).

Paste past postings takes the past years' postings from a spreadsheet: one row per resident per past year, twelve cells, each a posting or Leave.

Existing residents shows everyone grouped R0, R1, R2 and R3, with their completed and pending postings.

Run the wish round

About 3 minutes, then it runs by itself. You need: the invitation, reminder and deadline dates.

Emails go out on those dates

  1. Under Residents, tap Wishes.
  2. Tap each milestone's Set a date.
  3. Watch the replies line and the Not in yet list.
  4. Press Send email beside a resident to nudge them.
  5. When done, Close the round by typing CLOSE.

There is an invitation, up to three reminders and the deadline. A date today or earlier asks first, with Send and Cancel. The emails go by themselves on those dates.

The replies line reads, for example, 21 of 30 replied; Not in yet is grouped by year group.

The demo never sends real email; it answers Would have sent. Start a new round sits under the replies line.

Type a resident's wishes for them

About 1 minute per resident. You need: their wishes, by phone or message.

The wish joins their list

  1. Under Residents, open Existing residents and tap a name.
  2. Scroll to Wishes and press Make a wish.
  3. Choose Request a posting or Avoid a posting.
  4. Pick the specialty, hospital and period, then Add this wish.

For a returning resident, Copy last year's wishes forward offers last year's wishes that were not granted, ticked, to copy into this year.

Residents normally type their own wishes after signing in: see the part for residents.

Plan a new year

About 5 minutes. You need: the departments, residents and curriculum in place.

The solver keeps what you placed

  1. On Home, tap Plan a new year.
  2. Pick the academic year.
  3. Set the dates of Block 1 to Block 12.
  4. To fix a box, pick a department, then tap the box.
  5. Save. Later, Load previous draft reopens it.

A draft opens as its table; rename it with the pencil if you like. The dates save as you go.

The palette also has Leave, with Undo and Redo beside it. The solver keeps every box you placed.

Solve and compare

About 5 minutes, about 2 of them waiting in the demo. You need: a saved draft.

The year, filled and saved

  1. Open Settings and check the Rules and the scoring.
  2. Press Solve this table. You may leave meanwhile.
  3. Latest solve shows the result cards.
  4. Tap a card to preview it on the table.
  5. Press Use this solution, then save.
  6. Export gives a PDF or a CSV to share.

The Rules are the curriculum quotas, the manpower bands, the built-in rules, and your own with Add a rule; the scoring numbers are for wishes, fairness and preferences.

The waiting screen says how long it will take. On a real programme a solve can take up to 15 minutes.

Each card shows the score, the wishes granted, the breaches, the manpower, and how many boxes it differs by. A preview shows in dashed boxes, with its analysis: the score, wishes, fairness, rules, departments and residents.

File the year in the Database

About 2 minutes. You need: the final table, saved.

The Database keeps every year

  1. On the table page, press File in the Database.
  2. Read the preview.
  3. Type FILE and confirm.
  4. On Home, Database shows the year as filed.

The preview shows the year group changes, the wish points before and after, and who leaves the programme.

Open a filed year to read it or edit it, with its edit history.

For residents: answer a wish round

About 5 minutes. You need: the invitation email, and the address it came to.

  1. Go to roster.sg and press Sign in.
  2. Type that address, press Send code, then Verify.
  3. On your page, under Wishes, press Make a wish.
  4. Choose Request a posting or Avoid a posting, then Add this wish.
  5. Add more wishes, first choice first.
  6. Change your list any time until the deadline.

The invitation says your rotation wishes for the year are open, and by when to make them. It carries no link. After Send code, type the six-digit code from your email.

Your own page shows your completed postings, what you still need, and Wishes for the coming year, with the date it is open until.

A wish has the specialty, the length, the hospital and the period (any period, a quarter, one block or a run of blocks). Tap a wish to change it, and move it up or down or remove it, at any time. If you were in last year's round, Copy last year's wishes forward offers last year's wishes that were not granted, ticked, to copy into this year.

Each wish is kept as soon as you add it. After the deadline, the page says when the round closed, your list reads only, and it is the one used; for a change then, contact your coordinator.

Residents type their own wishes after signing in; the coordinator never needs to type them for you. Your page shows only your own record.
